We tried everything - And love Teamwork Projects

Kommentarer: We tried literally everything we could find in the market place for Project management software. We switched from Basecamp originally and the big push for us was the TimeTracking with tasks that could be brought into invoices. I know Freshbooks has that feature too, but freshbooks doesn't have project management in the way that we needed that total collaboration environment. We looked at Monday.com too recently but since we have full buy-in on Teamwork I don't think we are in a place to switch and a lot of the features and pricing just don't make sense. That is where I think Teamwork has really cornered the niche well in terms of pricing and features.

Kommentarer: Our group is more efficient, task-oriented, and collaborative when we work together as a team. It's ideal for companies with a large workforce. As a result of its ease of use and adaptability, it's ideal for usage by a wide range of organizations. It's great that we can contact with the vendor via Outlook and the tool keeps track of what we say. On top of that, we've got all of the project files saved on the server.

This software's user interface is well-designed and simple to operate. Reports, calendars, and Gantt charts may all be created. This program allows us to work with a variety of file types. All members of the team will be able to more readily communicate with each other thanks to this program.

I have seen better user interfaces in other products, but this one falls short. While getting acclimated to the UI takes some time, managing and controlling project activities becomes much simpler once you have.

Kommentarer: Teamwork is an "in" if you don't have a lot of training or experience with project management. It's so easy to use that you won't be held back.

The product is very easy to customize during set up and very easy to use. Everything I needed was visible and well placed. Billing and invoicing are included which makes it a lot simpler to budget and track expenses, but it can be turned off if you don't need it. I like the project milestones too. They're helpful and keep us motivated. There is a free tier, called the "free forever" account. With it I can have two projects at once and four people collaborating with me.

As for the product as a whole, a built in PDF editor would make it better. The prices for each tier have continued to increase. They're still reasonable but that's important to know. The first paid tier is $12.50 per person per month but it requires a minimum of five team members. If your team is three or four people you'll have to pay for a ghost member. With the free forever account, I don't like the complete denial to project templates. I think it would be reasonable to grant access to a few basic templates. The file storage limit of 100 MB is very hard to work with. To access the free forever account I had to start a free trial and then cancel to downgrade.

Much to improve on

Kommentarer: Teamwork more pretty than functional. Teamwork claims to be a 'project management' tool, but it lacks many fundamental PM features, and it's clumsy. Areas needing improvement: - One of the most important tools for project management are gantt charts. Teamwork's gantt chart is one of the worst I've seen compared to other PM software/apps. I will try to break it down:
1. The default view for task planning should be gantt view, not task list view. It's a project with many moving parts, you should be forced to at the same time creating your task, be able to see and visualize how and when it will fit in within the rest of the project.
2. In Gantt chart view, the gantt chart needs to show start/finish dates in 2 columns on the left side beside all the tasks. So from left to right it should look like this: task, start date, finish date, gantt chart. Every traditional PM software has this basic layout, it's fundamental. A simple tool like Smartsheet.com is far more basic, yet superior in this.
3. Printing gantt charts is clumsy and difficult. Everyone prints gantt charts on A3 or A2 to discuss over in meetings. Printing gantt charts in Teamwork is so clumsy, it's as though I simply took screenshot of whatever is on my screen and printed it. And often when i try to print in A3, it simply prints and A4 sized chart in the middle of an A3 page, leaving heaps of white space around the outside. You need to design the printing option so that it prints a beautifully presented gantt nicely on one page that fills the whole page.
4. The file management in teamwork is perhaps the WORST feature. It is extremely clumsy. Firstly you can't drag and drop folders to rejig folder structure, you need to manually do this and 'nest' them here and there, where you want it. It's so laborious. Furthermore, if i start uploading lets say 10 files into one folder, and i start navigating to other folders while my files upload, the uploaded files start being uploaded into all the folders I am navigating i.e. they don't all upload to the folder I initially dragged them into. So then I end up with 10 files randomly spread over all these folders and have no idea which ones they were saved into because these folders already have many files in them, and it just becomes an absolute nightmare to try and find them and move them back to the correct folder they were meant to be saved into in the first place. It is extremely laborious and time consuming to add tasks, set start and finish dates, and assign the task to people. Too much requirement to use the mouse pointer to select these. It should be just really basic where you can 'tab across' to the next thing. e.g. type in task *tab* start typing who the task is assigned to and it picks up the name *tab* enter start date *tab* enter end date *tab* <-- notice I didn't need to use my clumsy mouse at all during this process. using the mouse is slow, you need to allow us to have shortcuts that minimises the need to use the mouse.

one of the things that I liked least about the platform was the lack of customization options for the user interface. Powerful for Larger Teams

Kommentarer: Overall, Teamwork is a feature-rich project management tool with great integrations. It has all of the tools that teams of 5 or more need to successfully collaborate and communicate effectively on projects. Some cool features - such as the Notebook - I've not seen implemented in other project management software. In the past two years, more features have been implemented in Teamwork which keeps it near the top of my favorite project management software.

Great for task-driven multiple projects. Task management works great with collapsible lists and details, and unlimited subtasks; these are all great tools for detailing every step of a project that I look for in project management. This software also has the different "views" most project managers (and those they're reporting to) are looking for: Gantt, Kanban, tables and more. Chats, file attachments, task progress and more can be tracked by task, or subtask which can prevent or reduce clutter and confusion as long as the project manager clearly communicates how the software will be used.The Notebook feature is also standout. I've often used it to house detailed research or reference material, that is easily accessible and viewable within a specific project. I've used the Notebook feature for how-to video libraries, product comparisons, and for real time collaboration.The time/ expense tracking and exporting to other formats (spreadsheets, PDFs) as well as billing software is flexible and easy. The time trackers are intelligently placed on each task or subtasks and can be used to pull detail into reports and invoices.

Implementing a Kanban board from an existing project task list can be confusing and some tasks can be missed in the process.At one time, Teamwork was near the top of my project management software list. However, substantial changes to pricing plans clearly indicate the company is focused on enterprise level deployment, rather than on smaller teams. The free level provides decent features limited to 1-2 projects, but excludes integrations, such as third party cloud storage. The next level plan has a three seat minimum and is absent some core features and integrations. It's at the "Grow" level that all of the core features and integrations kick-in, along with a 5 seat minimum. We're a team of 3 that grows depending upon the project, but we couldn't rationalize paying the higher prices for 2 extra seats that were only used periodically AND the difference between the monthly and annual charges for these extra seats.One person on our team was decidedly more "visual" than I am and really had a hard time navigating Teamwork, as did a couple of our clients (with client access to view preliminary invoices and sign-off on work). I agree the fonts chosen to indicated headers and subheaders could have stood out more, but I personally didn't see that as an impediment.

I like it overall, but it feels a bit dated

Kommentarer: Teamwork is our project/clients headquarters. We keep all of our logins, tasks, and team communications in there and so far it's been a good solution for us and keeping all of our clients project specific material seperated. The daily e-mail reminders and task notifications keep our team running smoothly and aware of what's outstanding or coming up.

We've been using Teamwork as our project management tool for years. For my client's needs, it's a pretty great PM tool. It's easy for us to add new projects, create a Logins notebook and then add any tasks that need to be completed, assign to the person that needs to do it and attach any details such as date due and how long they have to complete it. I'm also able to add "saved" tasks lists so I don't need to re-enter my recurring tasks every time. It's easy to add and remove team members as well as clients. Lately they've updated the Dashboard when you first login so it has this cool tab called "My Work" that shows me what's due on my list only (not the entire teams) and what's coming up (and also what's overdue if I didn't complete something). This is a quick way for me to see what's on my plate. I love the fact that it archives projects, we refer to old projects frequenlty as the client needs additional work or an updated design, etc... and the new file sharing options are super helpful so we don't need to export a client file anymore and send it via e-mail, we can just send them the link. It also has a great file version feature, so we can see previous iterations and keep them all together

The interface is now cluttered and clunky. It's not as sleek and clean as say Basecamp in its simplicity. I don't ever use any of the reporting features because they just don't make any sense and in my opinion are not easy to implement. It could be I need to take some of their training or something, but haven't had the time. I wish it was a bit easier to create a project template and then update it. Because I have to hunt it down and remember where it is, my templates aren't updated as frequently as I would like. I also wish it provided more user guidance on setting up what I consider advanced features such as Gnatt charts and the new Kanban board interface.

Working Well for our Project-Based Company

Kommentarer: The overall experience has been pretty positive, with most team members adapting quickly to Teamwork. There has been a slight learning curve, since we were going from a very basic system in Trello to this more fully-featured tool.

The best part about teamwork is the birds-eye-view that it gives employees and managers over everything that is going on within the company. We really appreciate having our time tracking system tied directly to the tasks within a project because it makes it much easier to log time and to see how much time was spent on each area of the project.

We have not yet developed a clear process, and Teamwork doesn't seem to have one built in, to account for tasks that are waiting on outside input such as a client approval. Most of our clients are not using our Teamwork software, so when we are waiting on a review there is not a great way within the software to distinguish that apart from a task that is actually late.

Kommentarer: Teamwork Projects has a lot going for it. They are constantly adding features and options that make it more user friendly, and address a lot of small business needs where many other project management software apps just focus on the project aspect, and neglect the money and expenses. Our only gripe is that they don't have a better invoicing system so we could run even more of our business with one application.

I was surprised at how much you get for the price with Teamwork out of the box. It has built in time tracking, an extensive notifications system that let's you choose how often you want to receive updates and what you want to receive them about, and a great thing is bulk edit of tasks.

The invoicing system is too basic. You can create an invoice and add expenses, however, there are not a lot of options here. Also, the API doesn't allow for you to go in and do too much which is something that would really appeal to our team of developers.

Great people & lots of useful features but clunky to navigate and missing some critical pieces

Kommentarer: Good people and great support. Good value for the $ -- that's why we're using it. Lot's of useful features but hard to find them. UI is very clunky/difficult to navigate, especially when you have a large number of projects. Need to slim down, improve the UI. That's our biggest gripe. Need more development on the "meta" side -- across all projects/teams. That's what makes it so hard for us to navigate. It's really more geared to the project rather than the "enterprise" level, but how many groups that need software like this have fewer than 10 projects? Probably not many. So, further development of the site with the "meta" perspective in mind should be a priority. Also would be good to be able to generate timesheets that integrate salary/pay rate by person/project (you already have that info, it just doesn't do the math, creating the need for work arounds). Comments are troublesome -- it's convenient to use the comment function because often communications are driven by the needs of a given task. But then, when you mark the task as completed, the comments (and associated attachments) disappear too. I know there are other ways to get to them, but it's clunky. Messages don't feel like the answer, because then you lose the task context. I think you could do a comment board per project, separated/demarcated by task list or task, and get rid of messages (or, make messages enterprise wide) Finally, I'm not finding the "integrations" all that...well...integrative! I'm not really getting the advantage of the Dropbox integration and the Freshbooks integration is so limited as to not be very valuable. Lest I come across as disgruntled, let me emphasize that we like the product and the people running it. We want to stay and grow with you. We switched to you from Asana and there's no comparison in terms of features and ability to manage a large number of people and projects. Thanks

Productivity in full effect

Teamwork is great for not only a team of people, but for the individual user as well. I run a small accounting business and I'm my only employee. Teamwork allows me to set up tasks and projects that are both one-off tasks and regularly reoccurring tasks. As I check off the tasks that need to be done today, I can look forward to the rest of the week and get a good reminder of what is coming up. It also allows me to invite clients into the tasks so they can see the status of where I am at in a project we have agreed upon. They can upload documents, make comments. I can use a basic time-tracking tool to make sure I'm not estimating my time spent incorrectly. The extra time I have to spend upfront to get the tasks and templates created is well worth the time when a new client comes along. I don't have to recreate the wheel, or think extra hard at remember what I did last time. I can simply apply a template of tasks for any given project that is needed and we are set and rolling! This is one of the best tools I've discovered for running my practice.

For tasks that are set as reoccurring, their display of the tasks isn't the best. I click the task as complete and it immediately populates the next instance of that task right below the one I completed. I have to pay special attention to the tasks for this reason when checking stuff off. I have often checked the next month's task off after clearing the current one. When I uncheck the following month's task as actually not completed, it does not remember the future events that were created, thus making my task list look much larger than it actually is.

Overall good experience on Teamwork

Kommentarer: Teamwork has been incredibly helpful to us. One thing about our company is we work in segments, so we have about 20 "categories" of Projects, yet we can't do anything around those categories. I would like to view things with the Project Category as the filter. Milestones for a specific category of projects, tasks for a specific category of projects, add new or existing users to a specific category of projects. This would make our interaction with Teamwork incredibly more useful. I appreciate all the work that has come out over the summer to update the code base making it easier to add new features. And I have been excited about a lot of the features coming out. I would love to see a more robust JIRA integration (rather than just Zapier) since our company uses JIRA on the product/dev side and Teamwork on the operational/project management side.

How customizable it is by project and within a project. The ability to set permissions and privacy on almost anything in a project.

Adding users to specific projects at a mass project level is not easy. I would like to be able to both add users and filter items (milestones, task lists, activity, Everything items) by Category of the Project. I would like to report on Category of project. I would also like more ways of exporting the milestones in an easier to read report. We want to use milestones as a way to get our entire company in-the-know of upcoming items. But we have so many overlapping milestones the calendar view doesn't work, and the exported excel list isn't appealing for a quick read.

This product has made my life so much easier

Kommentarer: I am a big fan of Teamwork Projects! I am a UX designer and I had a problem in my company where all of my research files, notes, recordings, ideas, etc. were stored in a number of different places and I needed a way of keeping this information in a single place with the easy ability for other people to see it and to easily search and find what I need. Before Teamwork I would spend ages trying to track down files that I knew existed somewhere, or wanting other people to look at files that turned out to be saved on my local machine. Since discovering Teamwork all of that has changed. It has such a clean and easy UI that makes it very easy to organise my work. The search functionality is great, and the licensing does not charge per user so I can give everyone from my company a login if they want. On top of that, Teamwork has a whole bunch of features that I didn't realise I needed until I used them, and now I could not live without them. Within each project I can attach files, I can forward emails straight into the messages section, I can add a list of tasks and check them off once complete, I can record deadlines and time worked on a project, and I can record any risks the project has with severity levels and impacts. I can even setup people from outside of my company and give them limited access to certain files. Teamwork has amazing capabilities whilst being simple and easy to use. I really cannot recommend it enough. And at such a reasonable price for licenses I would struggle to find an equivalent competitor out there. I have only given it 4/5 stars for features and functionality purely because there is one extra feature I would love to see (if I could have done 4.5 I would have but alas it does not allow half stars on this site). The only thing that is stopping the rest of my company from logging in and looking at all my files is that they need to remember another login. If they could add single sign on and allow it to integrate to other systems we use (such as the atlassian products) then I would be able to get many more people in my company using it.

I love how easy to use it is!! I can gather many different file types (including emails) in one location, and I know exactly where to go to find them later. On the off-chance you cannot find something, the search functionality is great. I spend most of my time either adding files, messages, notebooks or links. I don't often use the time or billing sections, but I can see how they would be useful to other people.

The only thing I would like to see improved/changed is I would like the ability to have single sign on with some other common tools, such as the atlassian suite. If people in my company did not have to have ANOTHER login to another product then so many more people would use it.

TeamWork Projects Incorporates Project Notebooks, Customer Portal and OS-Agnostic Desktop Timer

Kommentarer: Overall, TeamWork (formerly TeamworkPM) is worth the monthly or annual fee. I've used TeamWork for more than 8 years and while I don't have a need to use it daily, I go to it for special projects and when I need a different kind of project control than I get with Apptivo. The interface is pretty, with soothing colors. The TeamWork crew creates excellent help documentation that's easily found in a comprehensive knowledgebase, they now have some full-fledged free online courses, and they included a customer support and feedback system within the dashboard. And then there's this: Transparency via a visual roadmap and update system on the TeamWork website that actually gets updated on a regular basis. Yes, I like skipping over to the website to see what are the latest fixes and what goodies they're planning.

Whiteboards are great but even the developers of TeamWork Projects (formerly TeamworkPM) were tired of trying to make them do the work of a real project management system. That's how I came across TeamWork Projects 8 years ago -- tossing aside the whiteboards and comparing online project management applications. TeamWork ultimately rose to the top because it either includes features I felt were must-haves or they had those features on the roadmap to deal with in the near future. TeamWork has task-level time-tracking and incorporates a desktop timer that I use on both my Windows and Linux versions computers. TeamWork was one of the few online project management applications that incorporated a file manager early on AND had the foresight to include it in the permissions system (important so all stakeholders have access to the files they need). I've used it for mock-ups, contract change-orders, and project photos. There is a project notebook system that is far superior to a so-called project wiki found in other project managers. I use it to keep notes, format them to look like real documents (not just a bunch of text notes), and export out in a format that is useful to project owners and clients. This was important enough that it would have been a dealbreaker if it wasn't included: the means to allow stakeholders (especially clients) to log in to see progress on their projects, participate in project-specific discussions, and access project-related files.

TeamWork's free tier is less generous than some of the other highly rated project management apps. Keeping up with the times, they've lately added a Kanban view (but it costs extra). But why the boards view is an add-on instead of integrated into the main projects beats me and makes me call this a welcome feature that is also a CON. Although TeamView has native integrations for GMail, HubSpot, and Harvest, I think it relies too much on its (well-developed and well-documented API) for integrations with the majority of the world of business applications. Of course, there are hundreds of Zapier workarounds. Still, I think TeamWork is strong enough to have better integration and less cobbled recipes.

Great software use it all the time

Kommentarer: Hi Teamwork Team, We have been using Teamwork PM for a while now and found in general it works fairly well for what we do. We are a consulting engineering company doing projects that range from a few thousand to a few million dollars. Right now we have eight employees but have had as high as 11. We often have lots of projects in various stages and we have clients for which we operate on an "on-call" basis. For example, right now we have 48 open projects. Obviously, with eight employees we can't be working on all of them at the same time and several are clients for which we have an "on-call" contract with so we keep at task list called "on-call" open with those clients. It helps to keep some visibility for all the clients we have active. One of our biggest frustrations with clients is and TeamworkPM is we can't suspend a group of tasks or a task list and then have it not show up as a late set of tasks, etc. We often have a client suspend tasks we are working on because they do not have permits ready, are still working on funding, or have to wait for something else they are working on to be completed. We can take the end date out of tasks but then we lose the history of when the task was originally supposed to be completed. The same happens if we simply extend the end date. We have tried putting a label on the tasks that say "suspend" but they still show up as late tasks. It would be really great to be able to suspend a task/task list and then it is essentially frozen and is not reported in late tasks until we unsuspend it. Also, it would be great if we could make the standard notebook default to be "This is just a little change" because we often use the notebooks to record conference call notes during the call. If someone forgets to click, "This is just a little change" then we end up with multiple versions of the notes. It would be great if there were better integration between the GNATT chart in TPM and Microsoft Project. While we are not fans of MS Project, we have clients that want their reports in MSProject. The conversion from TPM to MS Project can take some effort since MS Project is more detailed when dealing with critical path and dependencies. The last issue is how to get employees to really use it and keep it up to date! :-) Maybe an electric shock in their chair! :-) As with any tool, one has to use it for it to be successful. Overall, we like the tool. I will also say the Customer service has been awesome.

If you need budget-friendly software to set up, track and manage custom projects and task lists to keep your team organized, Teamwork can be a great fit. It's super easy to use and requires minimal training for a team to get started. The software is not trying to be everything for everyone which makes it highly intuitive and great at capturing the essentials for managing projects.

If your primary goal for project management software is robust project profitability tracking/reporting, Teamwork may not be for you. Recent feature additions for resource management provide some insights on capacity, but it does not provide the comprehensive reporting and analysis that other products provide.

Teamwork Projects takes a village

Teamwork Projects is a multi-faceted project tracking/management app. We are able to communicate and track project progress staff-wide fairly well. Enjoy the in-app chat.

It seems overly complicated as there are too many ways to do the same things (is it a task? a project? a notebook? a milestone?), which means people on staff manage projects and view them differently, too many view options, too many custom/sort options. Menus change with each function you are working in, but it is not intuitive ("where the heck do I find the option to modify a template?". Searching for help provides results that do not match what we see on our end (there is no TEMPLATES tab within PROJECTS). I am an Admin and I still have trouble navigating.
